Q: What type of organization would be a good fit for your software solutions?

A: We offer information technology solutions to any social services nonprofit organization that serves people with disabilities or other barriers to employment or independent living.

Agencies that want the ability to easiily track their clients' time and attendance, productivity, progress, and services provided, as well as billing for maximum services, while staying compliant with government regulations and CARF accreditation standards are great candidates for Vertex Systems' integrated software solutions.

Q: Does Vertex Systems specialize in only small or large social service agencies?

A: We work with all social service organizations that helps those with disabilities. We work with very small organizations, with only 1 or 2 users, all the way up to massive agencies that have multiple users and facilities.

Your agency is able to license only the functionality you need so you don't pay for software you cannot use. Also, pricing is a function of your agency size, enabling you to only pay for what you need now, but making it possible to expand to fit your changing needs as your agency grows.

We offer all our applications as modules - you can select the software that's right for your agency, and easily add others as you grow. We also offer a complete Enterprise Resource Planning (ERP) solution that combines all the modules you need onto one platform that allows accurate communication with every other application.

Q: We want to document and report on just about everything we do in our agency and we want it to be a quick and easy process. Can Vertex Systems do that?

A: Yes. We do a complete needs analysis of your organization when we begin working with you. We determine the needs of your agency, the issues and problems you're having, and the solutions that will help you be more efficient and effective.

We have a great tool, called Intuition, that will allow you to quickly enter time and pieces, attendance, services delivered, and documentation with a variety of devices (iPads, PCs, laptops, iPods, telephones, etc.)

And our solution software is based on a foundation of reporting tools. Outcomes, Progress, ISP, Trends and Services Delivered can all be pulled together when you need it, in seconds, not days. This makes communicating to your board or any other stakeholder an easy process of defining the date range and scope of information.

With a couple clicks, you will have the information ready to go.

Q: We need to replace our current accounting software. Is there anything special about your Vertex Systems Financial Manager solution?

A:Our Financial Manager software would be an excellent application for your agency. It is based on Microsoft's Dynamics NAV platform and will integrate with our Client Payroll Manager to handle your participant payroll needs, to seamlessly complete the gross-to-net process of your payroll. And it will handle all aspects of financial reporting, accounts payable, accounts receivable, inventory, human resources, and general ledger needs. The Financial Manager integration capabilities cut down on having to enter one piece of information in several different places. All the systems communicate efficiently together to provide accurate information and quality reporting.

Q: Our agency needs to find a better way to determine labor costs. What products does Vertex Systems offer that could help with job costing?

A: Job Manager is designed for agencies that have a higher volume of contract jobs in your workshop or sheltered employment facility. Typically, a customer of Job Manager will have subcontracts of more than one million dollars per year, have the need to accurately track all costs for a job, not just labor, while providing a high level of responsiveness to the customer and efficiently controlling inventory.

Q: I hear the term "web-based" used to describe software. Is Vertex Systems' software "web-based"? Is it "hosted" or "on-premise"? Are they "SaaS" or "perpetual license" solutions?

A: "Web-based" means different things to different people. If you are asking if Vertex Systems applications can be accessed using the Internet, the answer is yes. If you are asking if Vertex Systems software is only offered for rent, the answer is no.

You have the choice to buy a perpetual license for the modules you need or lease them through a Software-as-a-Service (Saas) method. Which means you can purchase the systems outright at the start of your partnership with us and pay nothing else for the software. Or you can choose the SaaS option where you pay no initial fee for the software but instead pay a small monthly rental payment.

The applications are always on-premise for our clients. We do not host them for you - this way, you own your data. No one else will have access to it and it will give you more control over application customization, performance and data security.

Q: We had a custom client data system written for us and it isn't working out. Can Vertex Systems convert our data so we do not have to re-enter all of it?

A: The basic consumer data can easily be imported into Vertex Systems' Case Records Manager and/or Client Payroll Manager by exporting it into our standardized import CSV format. Importing other data will require assistance from our implementation and support staff. As with all data, prior to importing it into a new system, you want to be sure that the data is correct.

Q: If we buy one application, such as Client Payroll Manager, and we decide to buy another one, will my data and records that we entered into our Client Payroll Manager need to be re-entered when we buy other modules?

A: No, not at all. The Vertex Systems Client Payroll Manager is part of a single database that includes the functionality to create and maintain records in Case Records Manager.

When you buy only one of these products, your license allows you access to only the functionality that you purchased. When you license Vertex Systems Case Records Manager, whatever you entered into Client Payroll Manager before will automatically be visible in the new application and vice versa.

Our main goal is to eliminate the "islands of information" you have in your current legacy system. We unite all applications under one roof and can integrate everything with existing software products you plan to keep using.

Q: Are there any other agencies in our state already using Vertex's software products?

A: Yes, we have customers throughout the United States who are currently using our products. Since we have been doing this for 30 years, we now have over 450 installations in more than 35 states.
